Payment & Cancellation

CABIN RESERVATIONS

INITIAL BOOKING DEPOSIT

A non-refundable deposit of $25 per cabin / per night reserved is required in order to hold your reservation, along with a valid VISA, MasterCard, or Discover Card number on file and signed confirmation letter.  A cabin reservation made 20 or fewer days out from date of arrival is due and payable at the time of booking. The deposit can be paid by credit or debit card, money order, or personal check. Deposits paid by credit or debit card will be charged the day of reservation. Other deposit payment methods must be received within 8 days of reserving your cabin(s) or the reservation is subject to cancellation.  

Please note that for reservations involving multiple cabins and/or RiverWind Lodge, a deposit equaling 50% of the total amount due may be required, depending upon the demand for lodging for the time frame you are coming.  

A confirmation letter will be emailed to you upon booking.  Please carefully review the letter's contents as it contains important information about your stay, including which cabin(s) you have booked and for what dates.  Once you have reviewed the letter, please sign it and fax or email it to us immediately.  This letter must be received in our office within 8 days of booking in order for us to continue holding the reservation.  Please notify us immediately if you do not receive it as the letter is critical to the securing of your reservation.

FINAL PAYMENT

The balance of an account is due upon check out and can be paid by credit or debit card, money order, personal check, or cash. 

CANCELLATION FOR 21 OR MORE DAYS OUT
A cancellation received 21 or more days out from date of arrival will be released from obligation, less the initial $25 per cabin / per night reserved deposit.

CANCELLATION FOR 20 OR LESS DAYS OUT
In our unique area, most requests for cabins are made weeks in advance, not at the last minute as is common with hotels or motels. Because of this, a reservation that is cancelled 20 or less days out from date of arrival---regardless of reason---is still owed and the reserving party is responsible for it. The amount due will be charged to the credit card holding the reservation. 

RIVERWIND LODGE RESERVATIONS

INITIAL BOOKING DEPOSIT

A non-refundable deposit of $100 per night reserved is required in order to hold your RiverWind Lodge reservation, along with a valid VISA, MasterCard, or Discover Card number on file and signed confirmation letter.  A lodge reservation made less than 21 days out from date of arrival is due and payable at the time of booking  The deposit can be paid by credit or debit card, money order, or personal check. Deposits paid by credit or debit card will be charged the day of reservation. Other deposit payment methods must be received within 8 days of reserving your cabin(s) or the reservation is subject to cancellation.

Please note that for reservations involving RiverWind Lodge and additional cabins, a deposit equaling 50% of the total amount due may be required, depending upon the demand for lodging for the time frame you are coming.

CANCELLATION
A RiverWind lodge cancellation received 61 or more days out from arrival date is released of obligation less the initial $100 per night reserved booking deposit.

The lodge is a unique property that typically books more than 60 days in advance. Therefore, a cancellation for RiverWind Lodge received 60 or less days out from date of arrival is still owed for and the reserving party is responsible for it. The amount due will be charged to the credit card holding the reservation.

A cancellation made by e-mail is not always reliable, as SPAM filters can block valid incoming e-mails from time to time. To be certain your cancellation notification is received, we strongly recommend you contact us by phone (1-800-221-5514) or fax (870-861-5501). 

HOLIDAY-RELATED LODGING RESERVATIONS

Reservations involving select holiday time frames may require a 2- or 3-night minimum reservation. Just ask our office staff for the specific nightly minimum for the holiday you're wishing to book. These holidays may include but are not limited to: New Year’s Eve & Day, Valentine’s Day, President’s Day, Memorial Day, Independence Day, Labor Day, and Thanksgiving.

A holiday-related cancellation received more than 30 days out from date of arrival is released from obligation and is subject to a $25 rebooking fee, which will be charged to the credit card holding the reservation. 

A holiday-related reservation cancelled less than 30 days out from date of arrival ---regardless of reason---is still owed and the reserving party is responsible for it. The amount due will be charged to the credit card holding the reservation.

CANOE / KAYAK / RAFT RESERVATIONS

PAYMENT

A non-refundable deposit of $25 per boat, per day holds your canoe, kayak or raft reservation(s).  Full payment is due upon arrival, wherein you may pay by credit card or with cash. 

CANCELLATION

You can avoid being charged in full for a cancelled canoe/raft/kayak reservation that involves a weekend or holiday (such as Memorial Day) by canceling 21 or more days in advance from date of launch without penalty, less your $25 per boat/ per day non-refundable deposit. Weekday reservations can be canceled at any time without penalty, less your $25 per boat/ per day non-refundable deposit.

Our window of time for canoe season is very short and we turn away scores of people for Weekends and Memorial Day canoes, so we have to observe a very tight policy for weekend cancellations. Exceptions: You will also not be charged if the National Park Service has closed the river due to flooding or if we are suggesting that the level is for experienced paddlers only.

Cancellations must be made by phone, rather than email as the latter can be unreliable due to spam filters.  Please call us at 1-800-221-5514 to cancel a reservation.  

Buffalo Outdoor Center is an authorized canoe concessioner of the National Park Service, Department of the Interior.

CANOPY TOUR RESERVATIONS

PAYMENT
Full prepayment of your zip line reservation(s) is made via a valid VISA, MasterCard, or Discover Card and due upon booking your reservation(s). 

CANCELLATION

Cancellations should be made by phone (1-800-221-5514) and are eligible for a refund less a $25 cancellation fee when received 21 or more days out from the date of your tour(s).  Cancellations less than 21 days from date of tour(s) are subject to forfeiture of amount paid unless your vacated tour slot(s) fill.  If the slot(s) fill, you will be issued a gift certificate (valid for one year from issue date) for the number of reservations purchased, less a $25 cancellation fee.
