Cabin Reservations

Initial Booking Deposit

A non-refundable deposit of 10% of the total amount owed per cabin reserved is necessary in order to hold your reservation.  We will also need a valid VISA, MasterCard, Discover Card or American Express number on file and a signed confirmation letter.  A deposit can be paid by credit or debit card, money order, cash or personal check. Deposits paid by credit or debit card will be charged on the day of reservation.  Please note that a deposit(s) is non-transferrable to another BOC service, activity or store items.

A cabin reservation made within 14 days of the date of arrival is due and payable at the time of booking

A reservation including RiverWind Lodge or Ponca Creek Lodge with additional cabins may require a deposit equaling 50% of the total amount due.

A confirmation letter will be emailed to you upon booking. Please carefully review the letter’s contents as it contains important information about your stay, including which cabin(s) you have booked and for what dates. Once you have reviewed the letter, please sign it and fax or email it to us immediately. Please notify us immediately if you do not receive a confirmation letter as it is critical to the securing of your reservation.

Final Payment

The balance of an account secured by credit or debit card is due 14 days prior to arrival and will be automatically charged to the card on file.  If your deposit was made by cash or check, full payment of the balance owed must be received 14 or more days in advance of your reservation arrival date; otherwise, the reservation is subject to cancellation.

Cancellation

  • A cabin reservation(s) cancelled 14 or more days from date of arrival will be refunded without penalty, less the non-refundable initial booking deposit.
  • A cabin reservation cancelled between 8 and 13 days from date of arrival will be refunded 50% of the balance owed, less the non-refundable initial booking deposit.
  • A cabin reservation cancelled 7 or fewer days from date of arrival is non-refundable with the balance due being charged to the credit or debit card on file.

To cancel, please call our office at 870-861-5514. A cabin reservation must be cancelled in full for all dates initially booked when it includes one or more dates within a time frame requiring a 2- or 3-night minimum stay, such as weekends and holidays. Once you have personally contacted us, we will send you a cancellation confirmation via email.  Certain holiday time frames require a 30-day advance cancellation for cabins.  These holiday time frames include Memorial Day weekend, 4th of July, Labor Day weekend, Thanksgiving weekend, Christmas Day and New Year’s Eve.

Please Remember:  An email or phone message cannot be accepted as a form of cancellation; we must speak with you in person in order to assure that your cancellation has been received.

Last-Minute Cancellation Option

“CANCEL IT NOW” CANCELLATION SERVICE

Take the unnecessary worry out of travel with our “Cancel It Now” Cancellation Service, which can be purchased for 7% of your pre-tax reservation balance.  This add-on service permits you to cancel a cabin reservation up to:

  • 10:00 AM on the date of arrival for non-holiday reservations
  • 7 days in advance of date of arrival for holiday reservations (Memorial Day weekend / 4th of July / Labor Day weekend / Thanksgiving weekend / Christmas Day / New Year’s Eve)

You may purchase the service when checking out online or by speaking to a member of our Adventure Staff.  The option must be added at the time of reservation and if used, all dates within the reservation must be cancelled.

Should you find you need to cancel, simply call our office staff at 870-861-5514. You will receive an email cancellation confirming that your reservation(s) has been cancelled. Riverwind Lodge & Ponca Creek Lodge Reservations

Initial Booking Deposit

A lodge reservation made 60 or less days out from date of arrival is due and payable at the time of booking.  The deposit can be paid by credit or debit card, money order, cash or personal check. Deposits paid by credit or debit card will be charged the day of reservation. The remaining balance for your reservation will be charged to the card on file 14 days prior to your lodging start date.  A deposit(s) is non-transferrable to other BOC services, activities or store purchases.  Please notify us immediately if you do not receive a confirmation letter as it is critical to the securing of your reservation.

Please note that reservations involving RiverWind or Ponca Creek Lodge and additional cabins may require a deposit equaling 50% of the total amount due.

Final Payment

Cancellation

  • A lodge reservation cancelled 61 or more days out from the reservation’s scheduled date of arrival will be fully refunded less the initial booking deposit.
  • A lodge reservation cancelled 60 or fewer days out from date of arrival is non-refundable with the balance due being charged to the credit or debit card on file.
  • Certain holidays require a 90-day advance cancellation for a lodge reservation in order to be fully refunded less your initial booking deposit.  These holiday time frames include Memorial Day weekend, 4th of July, Labor Day weekend, Thanksgiving weekend, Christmas Day and New Year’s Eve.

RV Campground Reservations

A confirmation email will be sent to you upon booking. A RV site(s) reservation made within 14 days of the date of arrival is due and payable at the time of booking.  Please note that a deposit(s) is non-transferrable to other BOC services, activities or store purchases.

Final Payment

The balance of an account is due 14 days prior to arrival and will be automatically charged to the card on file. Full balance for other deposit payments made by check or cash must be received within 14 days of your lodging start date or the reservation is subject to cancellation.

Canoe / Kayak / Raft Reservations

Securing Your Boat Rental

A non-refundable deposit of 20% per canoe or kayak per day rented is due at the time of booking. For rafts, the deposit is $10 per person, per day. A valid Visa, MasterCard, Discover Card or American Express is required to hold your reservation. If a boat reservation is made within 14 days prior to your scheduled launch date, full payment is required.  Please note that a deposit(s) is non-transferrable to other BOC services, activities or store purchases.

Final Payment

The balance of an account is due 14 days prior to arrival and will be automatically charged to the credit or debit card on file.

Cancellation

A boat reservation cancelled less than 48 hours from date of arrival will be fully due and non-refundable unless you have pre-purchased our “Cancel It Now” Cancellation Service. For example, a Friday reservation cancelled beyond the close of business on Wednesday of the same week is subject to full payment. The amount owed will be charged to the credit card holding the reservation at the time of cancellation. To cancel, please call our office staff by the close of BOC business hours (6:00 PM during spring floating season) at 870-861-5514.  Important Note: An email or phone message cannot be accepted as a form of cancellation; we must speak with you in person in order to assure that your cancellation has been received.

Unfloatable River Conditions

If a boat rental deposit or full payment has been made and we have determined that the upper Buffalo River is too low to float from the Pruitt access or the river is closed to rentals due to flooding, you will be fully refunded the amount charged to your credit card. While we make every effort to give guests advance notice of unfloatable river conditions, it is always wise to call us prior to your arrival date.  You can also check our Current Buffalo River Level Report for current river conditions. We don’t like to disappoint folks and, therefore, will launch boats on as long as possible.  At the same time, however, we also want you to have an enjoyable floating experience, so thank you for understanding should we have to notify you of unfloatable river conditions.

Zip Line Canopy Tour

Payment

A non-refundable deposit of $15 per participant is required in order to hold a reservation on the Buffalo River Canopy Tour. A valid VISA, MasterCard, Discover Card or American Express card may be used to reserve your place. The remaining balance will be automatically charged to the card on file 14 days prior to your tour date. Full payment is required at the time of booking if a reservation is made within 14 days of the scheduled tour time. Please note that a deposit(s) is non-transferrable to other BOC services, activities or store purchases.

Cancellation

You may cancel a zip-line reservation 48 or more hours in advance of your date of arrival without penalty, less the non-refundable amount of your initial booking deposit of $15 per participant.  To cancel, call our office at 870-861-5514 by the close of BOC business 48 hours in advance of your arrival date. Once you have personally contacted us, we will send you a cancellation confirmation via email.
